Performance responsibility:

Perform secretarial functions for administrators.

Communicate with families about application and admission requirements.

Process student registration

Maintain the student management system.

Act as a school secretary.

Work with counselors to maintain student records.

Correspondence is handled in accordance with established procedures.

Reports and other information are reproduced upon request for wide distribution.

Keep a calendar of appointments and organize trips, student events and meetings.

Keep records and prepare documents for the committee.

Coordinates data collection, organizes data, and prepares and aggregates state and federal compliance reports.

Maintain files and make them available to authorized personnel.

Assist in the maintenance of the website of the Virtual Academy.

Prepare purchase order requests and track orders through fulfillment, including receipt of goods.

Type of work: Full time

Salary: $13.50 – $14.50 per hour

Purpose of work:

Are looking for a passionate and professional administrative assistant to support some senior executives with roles such as meeting organization, calendar management and travel arrangements. The ideal candidate should be proficient in Microsoft PowerPoint, detail oriented and have strong communication skills (oral and written).

logistics:

This is a full-time position (40 hours per week) onsite at 4101 Percival Rd, Monday – Friday, 8am – 5pm. Columbia SC, in an office setting.

what will you do:

Manage front office functions. Uses teamwork, leadership, and communication skills to ensure calls are answered, daily mail is handled, supplies are purchased, filing is done, and equipment is maintained.

Perform high-level, varied, and confidential management tasks that require extensive experience, skills, and knowledge of the organization’s policies and practices. Fill in confidential worksheets and charts. Validate and respond to requests for data as needed.

Schedule and maintain a calendar of appointments, meetings, and travel itineraries. Coordinate related travel arrangements. Prepare and distribute meeting minutes. Categorize important calls to solve complex and routine queries. Handle daily correspondence, faxes and photocopies.

Participate in special projects.

To qualify for this position you will need:

An associate’s degree or two years of work-related professional experience or a combination of education and work experience equals 2 years.

6 years of experience in administrative support.

Excellent oral, written and interpersonal communication skills. Ability to work well with internal management and employees at all levels, as well as external customers and suppliers. Excellent organizational skills. good judgment. Ability to handle confidential or sensitive information with care. The ability to persuade, negotiate or influence. Analytical or critical thinking skills. Great attention to detail.

Assist the Financial Manager in the month-end closing process

Update/Archive with Compliance Companies

Reception, phones and mail

Maintain vehicle files and registration with DMV

Accounts payable – 3-way reconciliation

Create and maintain vendor accounts – maintain a good W-9 record and certificate of insurance

Invoice customer service orders

create estimates

Product inventory

Other duties as needed

Qualifications

3 or more years in similar roles/positions

Highly organized, diplomatic, detail-oriented and deadline-oriented

Possess excellent time management skills and the ability to multitask and work in a very busy office

Solid verbal and written communication skills; professional telephone voice/behavior

Maturity to deal with sensitive and confidential information.

Excellent interpersonal skills along with the ability to work well with all levels of management and internal staff, as well as external customers and suppliers

Must be a self-starter with the ability to work independently or as part of a team

Proficient in MS Excel, MS Word, Outlook, Internet research skills;

Knowledge of Quickbooks accounting software is a plus

Ability to adopt new processes, follow instructions and adhere to policies and procedures.
